This article explains how supplier-IDs become inactive, how this status is displayed in MultiCodes, and the best practices for managing hotel code portfolios to avoid unintentional inactivity.
How Do Supplier-IDs Become Inactive?
A supplier-ID can become "inactive" in our database under the following circumstances:
-
Explicitly Marked as Inactive:
The supplier explicitly sends the status "inactive" for a particular property in their latest update feed. -
Omission from the Update Feed:
If a supplier does not include a specific supplier-ID in their latest update, Giata interprets this omission as the ID being inactive, assuming the property is no longer part of the supplier's portfolio.
In both scenarios, the supplier-ID is marked "inactive" in Giata’s database and made visible to customers using MultiCodes (if the supplier allows this status to be shown). However, Giata does not delete inactive supplier codes from the database, preserving the mappings and historical data for future reference.
How to View Inactive Status in MultiCodes
Inactive statuses for supplier-IDs are displayed via the MultiCodes platform, enabling customers to monitor property availability status. The status attribute feature (available from MultiCodes version 1.latest) allows users to identify properties marked as inactive, whether temporarily or permanently.
Preventing Supplier-IDs from Becoming Inactive
To avoid properties being unintentionally marked as inactive, suppliers should follow these best practices:
-
Regularly Update Portfolios:
- Include all current property codes in every update feed submitted to Giata.
- Codes that are missing from the latest feed will be automatically marked as inactive.
- For seasonal or temporarily unavailable properties, use the "inactive" status attribute to accurately reflect their status without removing them from the feed.
-
Maintain Accurate Status Attributes:
- Giata provides a "status" attribute in MultiCodes to distinguish between temporary and permanent inactivity. Suppliers should utilize this feature to ensure accurate data representation.
-
Communicate with Giata:
- If there are challenges in submitting updates or managing property statuses, providers should promptly contact Giata’s Customer Success or Supplier Integration team for support. This ensures all updates are handled efficiently, avoiding unnecessary inactive designations.
Impact of Inactive Status
Marking a supplier-ID as inactive does not affect its mapping or delete it from the system. Inactive codes are retained in Giata’s database and remain visible through MultiCodes. This ensures that customers can reference historical data and monitor changes in property availability over time.
Regular Updates Are Key
To maintain accurate and up-to-date data within Giata’s system:
- Providers should send their updated property portfolios at the agreed frequency (typically monthly).
- This ensures that properties remain active in MultiCodes and minimizes the risk of errors or outdated information.
Key Benefits of Managing Inactive Codes
- Transparency: Customers can clearly see whether a property is active or inactive in MultiCodes.
- Data Integrity: Historical mappings are preserved even for inactive codes.
- Accuracy: Regular updates and the use of the "status" attribute ensure the database reflects the latest supplier information.
